The best accounting software for Malaysian SMEs

There is no single “best”: the right tool depends on how you work, who touches the books, and whether you want to own your data or rent access. Here is an honest way to choose, and where Orbit Finance fits.

The short answer

  • Solo owner or small SME who wants to own their data and pay once: a local-first tool like Orbit Finance.
  • Your accountant already lives in AutoCount or SQL Account: staying with the established desktop packages is sensible.
  • A team that needs several people online at once: a cloud subscription such as Bukku, Financio or Xero.

What actually matters

Six things to weigh before you pick

MyInvois e-Invoice

LHDN is phasing in mandatory e-Invoicing. Whatever you pick must be able to submit to MyInvois, directly or via a middleware integration.

SST & local tax

Malaysian Sales & Service Tax handling, RM formatting, and reports your accountant recognises matter more than a long feature list.

Pricing model

One-time licence vs monthly subscription. A subscription is access you rent. Stop paying and you can lose entry to your own books.

Data ownership

Cloud tools keep your books on the vendor's servers. Local-first tools keep the file on your machine, so you hold your data outright.

Offline & platform

Do you need it to work without internet? On desktop, or browser-only? On macOS as well as Windows? Few tools cover all of these.

Multi-user & scale

A solo owner or a small team has very different needs from a 30-seat finance department. Match the tool to your actual headcount.

The options compared

Three kinds of accounting software in Malaysia

Most tools fall into one of three camps. Compared by category, not feature-by-feature. The camp you choose matters more than any single product.

Where Orbit Finance fits

Best for owners who want to keep it simple

  • You want to pay once and own it, no monthly fee for the core app.
  • You want your books on your own device, not a vendor's cloud.
  • You need it to work offline, on macOS or Windows.
  • You're a solo owner or a small SME, not a 30-seat finance team.
  • You want MyInvois e-Invoice, SST handling and proper statements without the clutter.

When another tool is the better choice

We're not for everyone, honestly

  • Your accountant already works in AutoCount or SQL Account and you'd rather not move.
  • You need many people editing the books online at the same time.
  • You rely on deep inventory, manufacturing or built-in payroll modules.
  • You want everything in a browser with nothing installed.

If that's you, an established desktop package or a cloud subscription will serve you better, and we'd rather say so than sell you the wrong fit.

What is the best accounting software for a small business in Malaysia?+

It depends on how you work. If you want to own your data and pay once, a local-first tool like Orbit Finance fits a solo owner or small SME at RM249 for life. If your accountant already works in AutoCount or SQL Account, staying put is sensible. If several people need the books online at once, a cloud subscription like Bukku or Xero suits better.

Is the software ready for MyInvois e-Invoicing?+

LHDN is rolling out mandatory e-Invoicing by turnover: RM25–100m from 1 January 2025, RM5–25m from 1 July 2025 and RM1–5m from 1 January 2026, with businesses under RM1m exempt from that date. Orbit Finance is MyInvois-ready, and the established Malaysian packages support it too. Confirm your own phase before committing.

Is one-time licence cheaper than a monthly subscription?+

Over time, usually yes. A cloud subscription typically runs RM50–200 a month and never stops, so three years can pass RM1,800. Orbit Finance is RM 249.00 once, owned for life, with free updates and no recurring fee for the core app. The trade-off is that multi-device sync is a separate RM19 a month add-on.

Where is my financial data stored?+

With Orbit Finance your books stay in a file on your own device, and the app works with no internet at all. Nothing is uploaded unless you opt into encrypted sync at RM19 a month. Cloud accounting tools store your data on the vendor's servers instead, which is also why they stop working when you stop paying.
