How to set up filing rules in Orbit Finance

Rules is a filing clerk that watches transaction details, parties, or amounts to decide which category to use. It saves you from typing the same answer repeatedly. You write a rule, set its priority, and it pre-fills new entries or sweeps old ones. It does not record money or create transactions.

What is the Rules module for?

Rules watches the text, party, or amount on a cash transaction and decides which category it is filed under. This stops you from typing the same answer over and over. Every category is wired to a real account, so a rule chooses which account your money is reported under in your Profit and Loss.

How do I write a new rule?

  1. Press New rule.
  2. Pick the Field: Details, Party, or Amount.
  3. Pick the Match: contains, is exactly, starts with, equals, or is between.
  4. Type the Text, or the Min (RM) and Max (RM) for an amount band.
  5. Read the Matches count. If it is too high, make the text longer.
  6. Pick the Category. Only money out categories are offered.
  7. Add a Tag if you want a second label.
  8. Set the Priority. Lower numbers are checked first.
  9. Press Save.

How do rules file new entries?

  1. Go to Cash In & Out and press Add transaction.
  2. Type the Details, for example the payee from the bank line.
  3. Watch the Category field. If a Details rule matches, the app fills it in. Party and Amount rules never fill in this form; they only act on Apply to existing.
  4. Check the category. You can change it by hand, which stops the rule for this entry.
  5. Fill in the rest of the form and press Save.

How do I apply rules to old transactions?

  1. Press Apply to existing at the top right.
  2. Read the confirmation and press OK.
  3. Read the green message showing how many transactions were recategorised.
  4. Go to Cash In & Out and check those rows immediately to catch broad rules.
  5. Remember the sweep also looks at money in rows, so a loose Details rule can file a customer receipt under an expense account. Rows in a closed financial year are skipped.

How do I check if a rule is working?

  1. Read the Matches column on the rules list.
  2. Open Cash In & Out and look at rows under the rule's category.
  3. Open Activity from the avatar menu to see rule changes and sweeps.
  4. If a rule is wrong, switch it off using the toggle in the Active column.
  5. Fix wrongly filed rows in Cash In & Out by hand or using Categorise.

What this does to your books

Saving a rule posts nothing. When a rule pre-fills a new entry, the posting is the ordinary cash book posting when you press Save. Applying to existing moves amounts between accounts without changing the cash total. Rows in a closed financial year are skipped.

Questions, answered

Does a rule change my bank balance?

No. A rule only decides which category a transaction is filed under. It does not record money or change the cash total. When you apply rules to existing transactions, it moves amounts between expense accounts, but your cash total remains the same.

Why did my rule not fill in the category?

Rules only pre-fill the Category field while you are typing the Details line. Amount and Party rules do not fill in the form. They only act when you press Apply to existing. If you change the category by hand, the rule stops interfering with that specific entry.

What happens if I delete a bad rule?

Deleting a rule stops it from acting again, but it does not undo its work. Every row it already moved stays moved. You must fix the wrongly filed rows in Cash In & Out by hand or by using the Categorise feature.
