How to configure Orbit Finance settings

Settings is a directory of modules, not a single form. It groups controls under Business settings, Books & documents, Connections, and App & data. Open the specific module you need, such as Payment Details or Categories, to change how the app handles your money. Most settings affect future transactions only, so past entries require manual correction.

What is the Settings module for?

Settings is the main directory for the app. It groups destinations under four headings: Business settings, Books & documents, Connections, and App & data. Choosing a row opens that module with its own controls. A setting decides what happens next, so fixing a wrong setting in June corrects June onwards, but January to May stays as it was.

How do I capture bank notifications?

  1. Open Bank notifications under Connections. It starts Off, and only an Admin or Accountant can turn it on.
  2. On Android, grant Notification access only to the bank, wallet and SMS apps Orbit may read. This needs the Google Play version of the app, not the website download.
  3. On iPhone, create personal automations in Shortcuts with the Record bank transaction action, for Wallet and Message triggers.
  4. Run a test. The item appears in Automation > To approve, and OTP, TAC, password and PIN messages are discarded.

How do I set up online payments?

  1. Open Payment Details under Business settings and choose the Online tab.
  2. Pick your gateway. CHIP, Billplz, ToyyibPay, Stripe, Razorpay, Payex and PayPal check payments on their own; senangPay and Fiuu only make the link.
  3. Use Custom link if your gateway is not listed, pasting the payment page URL.
  4. Press Test link to verify the address.
  5. Tick Enable online payments on invoices to show pay links and QR codes. With Custom link, record each payment under Payments yourself.

How do I map cash categories to accounts?

  1. Open Categories to see the Cash In and Cash Out lists.
  2. Press Add category and fill in the Name in English and Bahasa.
  3. Choose the Direction, either Cash In or Cash Out.
  4. Choose Maps to account. An income or expense category must sit under Profit & Loss, or nothing filed under it appears in your P&L.
  5. Press Save. Every Cash In or Cash Out filed under this category now posts to that account, with Cash & Bank on the other side.

How do I set statutory compliance dates?

  1. Open Compliance under Business settings.
  2. Choose the company type and incorporation date.
  3. Set whether the company has an AGM, employees, or SST registration.
  4. Choose the FY2022 turnover band for e-Invoice.
  5. Press Save, then open Calendar > Compliance to review the recalculated duties.

What this does to your books

Settings itself posts nothing, but a few settings decide future postings. An approved bank notification creates a cash entry: cash in debits Cash & Bank and credits the category account, cash out the reverse. A category's mapped account is used for every cash entry filed under it. A gateway that checks payments on its own records the payment as Debtor Collection: Dr Cash & Bank, Cr Trade Debtors. With automatic invoice accrual on, the default for real companies, a saved customer invoice posts Dr Trade Debtors, Cr Sales.

Questions, answered

Does changing a setting fix past entries?

No, a setting decides what happens next. Almost nothing in Settings rewrites what you already recorded. If you fix a wrong setting in June, June onwards is right, but January to May stays as it was. You correct those months with entries, not with settings.

Who can turn on automatic invoice accrual or bank notifications?

Only an Admin or Accountant. Automatic invoice accrual is under Sales & invoices and is on by default for real companies and off for practice companies. A Clerk can read the bank notification setup but cannot change it.

What happens if I leave payment terms blank?

Leaving Invoice payment terms blank uses the house default, which is 30 days. It does not mean zero or due on receipt. Blank means default, so the app will calculate the due date as 30 days from the invoice date unless you specify a different number.
