How to set up your product and service catalogue

Products and Services is your catalogue of items you sell. It holds defaults like name, unit, price and e-Invoice code. When you pick a product on an invoice, the app copies these details to the line. This module does not post money. It ensures your future documents use the right information from the start.

What is the Products and Services module for?

This module stores the things you sell, including their name, unit, sale price, cost price and e-Invoice classification code. It acts as a set of defaults. When you use a product on a document, the app copies its details to that line. The catalogue itself holds no money. It is master data that supplies information to invoices and quotations.

How do I add a new product or service?

  1. Press Add product.
  2. Pick the Type first, as it changes the form. Options include Service, Inventory, Bundle, Deposit, Fee, Rental, Digital and Subscription.
  3. Type the Name. A SKU box appears only for stock types and is prefilled from your SKU format.
  4. Enter the Sale price and the Cost price. The list shows the margin between them on the row.
  5. Choose the Base unit, for example unit, hour or kg. This prints on the invoice line.
  6. Set the e-Invoice classification code if MyInvois is on. Leave the default if it is off.
  7. Press Save. Nothing is posted. You have written a default, not a transaction.

How do I check what a product has earned?

  1. Click the row to open the product page. The pencil icon opens a quick edit box for renaming.
  2. The top card shows Sale price, Cost price, Margin in RM and, for stocked items, the quantity on hand.
  3. The Performance card totals what the item has been invoiced for, sold over the counter, quoted but not won, and purchased for.
  4. Read the line under Performance. If it says no linked sales, it means nothing was tied to this product. Free text lines are not counted.

How do I record production of a made item?

  1. Open the product. If it is made from other items, a Recipe card appears.
  2. Add one row per ingredient with quantity and unit. Set the batch size and waste percentage. Press Save on the card.
  3. Read the cost chips. Stock cost comes from real stock, typed price from your input, and no cost is a warning.
  4. Press Record production, enter the number of batches, and confirm.

How do I retire a product I no longer sell?

  1. Press the pencil icon on the row to open the edit box.
  2. Switch Active off in the header, then press Save. The row dims and the item stops appearing on new documents.
  3. Prefer retiring to deleting. It keeps the item readable on old invoices for auditors.

How do I review and approve a cost card?

  1. Open a product row, then choose Costing.
  2. Read each standard cost by element, behaviour and traceability.
  3. Review actual-to-standard variances and their justification, then submit the costing evidence for approval.

What this does to your books

Production moves value but creates none. Ingredients leave stock at their real cost, and the finished item enters stock at that same total. Stock value remains unchanged and no profit appears until the item is sold. Cost cards are evidence only and post nothing to the ledger.

Questions, answered

Does changing a product price update old invoices?

No. The saved invoice line keeps its own copy of the price. Editing the product does not change the document. You must correct the document itself with a credit note.

Does typing an opening quantity update my stock accounts?

No. That number is written only to the product record. Stock reaches your books through real receipts and issues in the Stock screen, not through this field.

Does the product decide which income account is used?

No. The product does not carry an account. The document you record the sale on decides where it lands. A wrong product gives you a wrong price or code, never a wrongly filed account.
