How to reconcile your bank accounts in Orbit

The Bank module holds your accounts and proves your books are true through reconciliation. You add accounts, move money between them, and import statements. Then you tick off items that appear on both your books and the bank statement. This process identifies timing differences and missing entries until the difference reaches zero.

What is the Bank module for?

The Bank screen holds your accounts, movements between them, and reconciliation. An account can be a bank account, cash drawer, or credit card. Reconciliation compares your records with the bank statement to prove your cash figure is correct.

How do I add a new account?

  1. On the Accounts tab, press Add account.
  2. Type the Account name, such as Maybank 5141.
  3. Pick the Type: Bank, Cash, or Credit card.
  4. Fill in the Account no. and the Opening balance in RM.
  5. Press Save.

How do I move money between accounts?

  1. Open the Transfers tab and press New transfer.
  2. Choose the From account and the To account.
  3. Set the Date and the Amount in RM.
  4. Press Save.

How do I import a bank statement?

  1. Press Import statement at the top. It appears once you have at least one account and the bank import add-on is on.
  2. Pick the Bank account the statement belongs to.
  3. Press Choose CSV / PDF and pick the file, or paste rows into the Or paste CSV box.
  4. Press Preview. Every row is labelled New, Match or Duplicate.
  5. Check the Category on every New row. Without a matching rule it defaults to Sales for money in and Other Expenses for money out, so change any row the default gets wrong.
  6. Press Import.

How do I reconcile cleared items?

  1. Open the Reconcile tab and choose the account.
  2. Type the closing figure into Statement balance.
  3. Tick the box on every row the statement also shows.
  4. Label uncleared rows as Unpresented cheque or Uncredited lodgement.
  5. Keep going until Difference reads RM 0.00.

What this does to your books

Adding an account, moving money between your own accounts and ticking a row as cleared post nothing to the ledger. On import, only New rows post: money in is Dr Cash & Bank (1000) / Cr the account behind the chosen category, for example Sales / Revenue (4000); money out is Dr the category account, for example Purchases (5000) / Cr Cash & Bank (1000). Match rows are only ticked and Duplicate rows are skipped. A GL adjustment posted from reconciliation debits the chosen expense and credits cash for a bank charge, or debits cash and credits income for interest received.

Questions, answered

Does adding a bank account post to my ledger?

No. Adding an account posts nothing to your ledger. The opening balance you type here feeds this screen's balance and the Cleared figure on the Reconcile tab only. The opening balances that reach your Balance Sheet are set separately, on the Opening balances screen.

What happens when I move money between my own accounts?

A transfer between your own accounts is not income and not an expense. Your chart of accounts holds one Cash and Bank account, so moving money from one of your accounts to another leaves that total exactly where it was. Nothing reaches your Profit and Loss.

Why does my reconciliation difference not reach zero?

The leftover rows are your answer. They are either missing from your books or have not cleared the bank yet. Do not tick rows just to reach zero, and correct any wrong amount in the module that recorded it, because reconciling never changes an amount.
