How to record cash in and out in Orbit Finance

Cash In & Out is your cash book for tracking every ringgit that moves. You record one row per transaction, choosing a category that links to your chart of accounts. This posts the entry to Cash & Bank and the relevant account automatically, keeping your trial balance accurate.

What is this module for?

This screen records cash movements on a cash basis. It tracks money actually moving in or out, such as counter sales, rent, or bank charges. It does not record accruals like invoices or bills, which live on other screens.

How do I record money going out?

  1. Press Add transaction, then Single entry, leaving the form on Cash Out.
  2. Set the date to the day the money left the account or till.
  3. Type the amount in RM.
  4. Pick the Category, such as Rental / Sewaan, to decide the expense account.
  5. Pick the Account the money moved through, such as Maybank Current, so the Bank screen's card stays in step with the books.
  6. Choose Paid from and the Payment method. These are notes for your own reconciliation and do not change the double entry.
  7. Type Details or press Itemize for separate lines.
  8. Press Save.

How do I record money coming in?

  1. Press Add transaction, then Single entry, and switch the toggle to Cash In.
  2. Set the date the money reached you and type the amount.
  3. Pick a Cash In category, using Sales for new income or Debtor Collection for invoice payments.
  4. Choose Received into and the Payment method, then press Save.

How do I attach or scan a receipt?

  1. Use the attachment field to add a photo or PDF of the receipt.
  2. Press the scan control or paste a photo to let the app fill in the date, amount, and payee.
  3. Check every filled field before saving, as a scan is only a first draft.
  4. On a mixed receipt, press Itemize and untick personal lines to keep the amount accurate.

How do I fix or remove a row?

  1. Click any row to reopen it and change what is wrong.
  2. Change the category and press Save to move the amount to the new account.
  3. Tick multiple rows and press Categorise to re-file them at once.
  4. Use Delete only for duplicate entries, not to hide payments.
  5. Note that the app refuses edits if the period has been closed.

How do I match my rows to the bank statement?

  1. Press Match statement, choose Bank statement, and upload the file.
  2. Review the two columns showing the bank line and your recorded row.
  3. Press Add on any line counted as not recorded to create the missing entry.
  4. Press Mark reconciled to tick the matched rows in the ledger.

What this does to your books

Money out posts Dr the category's account, for example Rental / Sewaan (6040) or Purchases (5000) / Cr Cash & Bank (1000) when you save. Money in posts Dr Cash & Bank (1000) / Cr the category's account: Sales / Revenue (4000) for Sales, Trade Debtors (1100) for Debtor Collection, or Partner's Capital (3000) for Capital Injection. If an approved business budget has control switched on, an over-budget or unbudgeted cash-out expense or CAPEX row waits in Automation and posts nothing until it is approved. Scanning, attaching and marking a row reconciled post nothing.

Questions, answered

Why is my income overstated after recording a payment?

You likely filed the payment under Sales instead of Debtor Collection. If the sale was already recorded on an invoice, Sales counts the income a second time. Use Debtor Collection to clear the debt. Also, Record payment on the invoice already writes that row for you, so do not add it again here.

How do I record the owner topping up the float?

Use the Capital Injection category. Money from the owner is not income or profit. It posts a debit to Cash & Bank (1000) and a credit to Partner's Capital (3000).

What happens if I delete a row to correct it?

Deleting removes the row from the ledger and statements. It is best used for duplicates. To correct a date or category, edit the existing row instead so you keep one clean history in your books.
