How to set up recurring expenses in Orbit

Recurring Expenses creates standing instructions for costs that repeat, such as rent or subscriptions. You describe the cost once, and the app types the cash book row on each due date. Generation happens when you open Orbit or press Post due now. Check this screen at the start of each month to ensure rows appear.

What is this module for?

This module is for costs that repeat without manual entry, like shop rent or internet bills. It writes the same cash book row you would type yourself in Cash In & Out. The row has the same date, amount, category, and two sides. No one can tell which rows were generated by a template and which you typed manually.

How do I set up a repeating cost?

  1. Press New recurring expense.
  2. Pick the Category, which decides the expense account for every future post.
  3. Type the Amount (RM).
  4. Type Details, such as Office rent, to identify the cost in the cash book.
  5. Pick the Frequency and set Every if needed, for example every 2 months.
  6. Set Next date to the first date it should post from.
  7. Set an End date if the contract stops, or leave it blank to run forever.
  8. Press Save.

How do I post expenses that are due?

  1. Press Post due now at the top right.
  2. Read the green message to see how many expenses were posted.
  3. Look at the Next date column to see templates move forward by one period.
  4. Open Cash In & Out to check the new money out rows are dated correctly.

How do I post one template early?

  1. Find the row in the table.
  2. Press Post now, the first small button in the row's action group.
  3. Read the message confirming the expense was posted.
  4. Post now dates the row today, so do not use it for a cost that is already overdue. Use Post due now, which posts each missed period on its own date.

How do I pause, edit, or remove a template?

  1. Press the pause button to stop firing, or press it again to resume.
  2. Click the row or press the pencil to change the amount, category, or schedule.
  3. Press the red bin to remove the template.
  4. Open Cash In & Out to deal with actual rows separately, as removing the template does not touch them.

What this does to your books

Saving, pausing, editing or deleting a template posts nothing. Each due date produces one money out row: Dr the template's category account, for example Rental / Sewaan (6040) or Utilities (6050) / Cr Cash & Bank (1000). A template three months late produces three rows, each dated its own due date. Post now writes the same row dated today. No bill or creditor entry is created.

Questions, answered

Why did my recurring expense not post automatically?

Generation happens when you open Orbit or press Post due now. It does not run on a clock while the app sits open. If you leave Orbit open across the due date, the row will not appear until you close and reopen it or press the button.

What happens if I delete a recurring expense template?

Deleting the template does not remove any rows already generated in your ledger. The template and the postings are separate things. If a template posted something it should not have, delete that specific row in Cash In & Out, not the template.

Can I use recurring expenses for customer payments?

No, this screen is only for money going out. If a customer pays you every month, that belongs in Recurring Invoices. Using this module for income would be incorrect, as it records costs on a cash basis.
