What is this module for?
It records what a client hands you, such as a laptop or a hosting login. It answers two questions: what do we still have of theirs, and what access must be switched off when someone leaves? It is a custody record, not a financial transaction.
How do I record what the client handed over?
- Press New record and pick the client. Give it a date, and the project if you use projects.
- Add an entry for each thing. Choose Asset for physical items and Access for system permissions.
- Fill in identifiers like a serial number or URL. For Access, add the Account or username and Credential kept in.
- Record who handed it over and who on your side is holding it.
How do I return items or revoke access?
- Click the row to open the record. Use Mark returned for assets or Revoke access for permissions.
- Press the button when the item goes back. The date is stamped automatically and the entry closes.
- Check the heading count to see how many items are still with you.
How do I use this to close a job?
- Open the record before sending a final invoice and check the count of items still held.
- Work down the Access entries first to ensure all logins are revoked.
- Issue the record when handover is agreed. It locks and creates a numbered revision if changed.
- Download PDF for a copy both sides can sign. It prints the register as a table.
What is the difference between Asset and Access?
An Asset entry is something physical you can hand back, like a laptop or key. An Access entry is a permission on a system, like a hosting panel. You do not hand access back; you get it switched off, which is called Revoked.
