How to create and bill a Statement of Work

A Statement of Work is the signed agreement for one job, setting out scope, dates, fee, and payment stages. It is not a quotation. You write it, issue it to lock the wording, and bill each stage as it falls due. Saving the document posts nothing to your accounts.

What is a Statement of Work for?

It is the document you and a client sign before work starts. It defines deliverables, timelines, total cost, and payment stages. Once issued, the wording is locked. Any change becomes a numbered revision. It is distinct from a quotation, which offers a price and expires.

How do I write a Statement of Work?

  1. Press New Statement of Work. The document number is filled in automatically.
  2. Pick the client. This is mandatory before you can proceed.
  3. Under agreement, link the MSA reference and date if applicable.
  4. Under Scope of services and deliverables, add provisions with headings and prices, then add items underneath.
  5. The Fee fills itself from priced provisions. If you want a fixed fee, leave provisions unpriced and type the fee manually.

How do I set the payment schedule?

  1. Under Payment schedule, add a stage for each payment.
  2. Write the trigger event, such as upon signing, and the percentage of the fee.
  3. Ensure stages total 100%. The document will not save until they do.
  4. Orbit spreads any odd sen so the stages add up to the fee exactly.

How do I issue and bill a stage?

  1. Press Issue to lock the wording and send the document.
  2. Press Bill this beside a stage when it falls due to create an invoice. It stays greyed out until the document is issued, and each stage can be billed once.
  3. Raise an acceptance form from the Acceptance screen when the client signs off.
  4. Use Keep as my template to save the wording for future jobs.

How do I change a signed document?

  1. Open the document and press Create a revision.
  2. The new version is numbered with -R1 and ready to edit.
  3. The original is marked Superseded and kept for reference.
  4. Stages already invoiced on the old version do not carry over.

What this does to your books

Saving a Statement of Work, its payment schedule or a revision posts nothing. Billing a stage creates an ordinary invoice: in a real company with automatic invoice sales on, saving it posts debit Trade Debtors, credit Sales, while practice books default to a manual debtor entry. When the client pays, it posts Dr Cash & Bank (1000) / Cr Trade Debtors (1100). A revision does not undo an invoice already raised; use a credit note.

Questions, answered

Does a Statement of Work post to my accounts?

No. Saving a Statement of Work posts nothing to your Trial Balance. It is a promise, not a transaction. Your accounts only move once a stage is billed and its invoice is posted, automatically or by a manual debtor entry.

Can I edit a Statement of Work after issuing it?

No. Once issued, the wording is locked. If the client agrees to a change, you must create a revision. This creates a new version with an -R1 suffix, while the original remains marked as Superseded.

What happens if my payment percentages do not total 100%?

The document will not save or issue. The app refuses this on purpose to ensure the entire fee is invoiced. You must adjust the percentages so they total exactly 100%.
