How to manage your lead pipeline in Orbit Finance

Lead Pipeline helps you find and track potential customers in Malaysia. You search for prospects, move them through stages like New, Contacted, and Quoted, and import them as contacts when you win the job. This screen is for sales tracking only. It does not create invoices or post any entries to your Profit and Loss or Balance Sheet.

What is the Lead Pipeline for?

This screen is for finding and tracking people who are not yet your customers. You describe the business type and location to get a list of prospects with contact details. You then manage them through a simple pipeline. Nothing here is bookkeeping. No debits or credits are made, and no figures from this screen appear in your financial statements. Money only enters your books later when you record real transactions on other screens.

How do I find new prospects?

  1. Fill in the business type or industry, for example Dental clinic.
  2. Pick the Location. Choose a state, or All Malaysia for nationwide, and narrow it further with Area if the state offers one.
  3. Choose How many, from Up to 10 through Up to 50.
  4. Press Find leads. Live research can take a minute, and the panel says so while it runs.
  5. Read the source badge under the search box. Cleanlist is a people database, Google agent researches live listings using your Claude subscription, and sample is bundled demo data, so results labelled sample are not real businesses.
  6. Watch the searches counter in the top right. There is a daily quota per company.

How do I filter and review the list?

  1. Use the tabs across the top to switch view: All, No website, then New, Contacted, Quoted and Won.
  2. The No website tab is the money view for a web or IT business. A listing with no site is a business with an obvious gap you can talk about.
  3. Narrow further with the rating filter, the listing filter for Claimed or Unclaimed, and the sort control for Top rated or Most reviews.
  4. Type in the search box to filter the loaded rows by name, address, phone or website.
  5. Read the footer. It shows how many leads are in view and how many of them have no website.

How do I update a lead's status?

  1. Change the Stage dropdown on the row the moment something happens, not at the end of the week.
  2. Set it to Contacted when you have actually spoken to someone, not when you have sent one unanswered email.
  3. Set it to Quoted only once a real quotation has gone out.
  4. Set it to Lost when they say no, and leave it there. A truthful Lost is more useful than a hopeful Contacted, because it tells you what your real conversion rate is.
  5. Press the pencil button to open a lead and correct the name, phone, email, address or website.

How do I import a won lead?

  1. Tick the leads you have genuinely won. A bulk action bar appears at the top of the table.
  2. Press Import to pipeline.
  3. The app creates a Contact marked as a customer, using the lead's name, phone and address, and skips any lead already imported.
  4. It also raises a draft quotation for that contact. Open it under Quotations and replace the placeholder line with what you are really selling, at the real price.
  5. The lead's stage is set to Won and the row shows an In pipeline badge.

How do I manage my lead lists?

  1. Tick some leads and press Save to list to group them, either into a new list you name or an existing one.
  2. Press Export CSV to download the current view as a spreadsheet for a call sheet or a mail merge.
  3. Press Add lead at the top right to type in a prospect you met yourself, as a business or as a person.
  4. Tick leads and press Delete, then confirm, to clear out ones you will never call. This cannot be undone from the app.
  5. Delete anything you no longer have a reason to hold. These are other people's contact details, and keeping them without purpose is not good practice.

What this does to your books

Searching writes prospect records and nothing else. No account is touched, no document is issued, and nobody is billed. A lead is information about a stranger, not a transaction. Stage is a sales note, not an accounting event. Marking a lead Won records your own optimism and posts nothing. The sale reaches your books only when you raise the paperwork and record the entry that goes with it. Importing writes a contact record and a draft quotation, and posts nothing to your accounts. A quotation is an offer, not a sale, so no account moves. The sale reaches your books when you invoice it and add the matching entry on the Debtor and Creditor screen.

Questions, answered

Does marking a lead as Won add income to my accounts?

No. Marking a lead as Won is a sales note and does not post anything to your accounts. The money only enters your books when you raise an invoice and record the matching entry on the Debtor and Creditor screen.

What is the difference between a lead and a customer?

A lead is a business or person who might buy from you, but nothing has been agreed and no money is involved. A customer is a contact you have imported after winning the job. A lead is information only. Import a lead only when there is something real to invoice.

What happens when I press Import to pipeline?

The app creates a Contact marked as a customer using the lead's details. It also raises a draft quotation for that contact. Importing always sets the stage to Won, so import only leads you have really won. The draft quotation has one placeholder line at zero, so edit it before sending. Nothing is posted to your accounts.
