What is the Notes module for?
Notes explain the summary lines on your financial statements. They show the individual accounts that make up a total, such as salaries and rent under Administrative Expenses. This screen is read only. It groups accounts based on their note numbers from the chart of accounts.
How do I open and read a note?
- In the sidebar under Reports, press Notes.
- Check the year printed under the title. It is the current financial year.
- Each card is one note. The heading reads Nota, then the note number, then the title.
- Under the heading is one row per account with a balance, with the amount on the right.
- The bold Total row at the bottom of the card is what the summary line on the statement should say.
How do I trace a figure on a statement?
- Open Balance Sheet or Profit & Loss and pick the summary line you want to understand.
- Come to Notes and find the card whose Total equals that line.
- Read the account rows inside it. That is the whole of the figure.
- If one row looks wrong, go to General Ledger under Books and open that account to see the individual postings.
What can I change on this screen?
You cannot change a note's contents from the app. Note numbers are set on the chart of accounts when the company is created. The grouping you see is fixed by the chart of accounts. Accounts with no note number do not appear here. Written notes and accounting policies are in Financial Statements Pack under Books.
How do I check notes before filing?
- Read every card and ask whether the account names inside it would make sense to a stranger.
- Read each heading against the accounts under it. Headings come from a fixed list in the app, so an account with the wrong note number lands under a heading that does not describe it.
- Check that the Total on each card matches the line it supports on the statement.
- Remember the number here is a grouping number, not the printed note number.
- If nothing shows at all, there are no transactions in the current year yet.
