How to record a delivery order in Orbit Finance

A delivery order is the signed note that proves goods left your premises. It records the stock movement but not the sale. To use it, raise the order, pick catalogue items, save to ship stock, and later create an invoice to record the income.

What is a delivery order for?

It is the document that travels with the goods. It lists what left, when, and who received it. The customer signature serves as proof of delivery in disputes. It is not a bill, so it records no sale or debt.

How do I raise a delivery order?

  1. Press New. The number gets a DO prefix and the title is pre-filled.
  2. Pick the Customer. Note the date field is Delivery date, not Valid until.
  3. Add a line per item. Pick the actual product from the catalogue to move stock.
  4. Enter the quantity that is truly leaving. Use part quantities for partial shipments.
  5. Fill in Person in charge, then Save.

How do I create one from a sale order?

  1. Go to Sale Orders, open the confirmed order, and press To delivery order.
  2. The customer and lines are copied. The sale order is stamped Converted and locked.
  3. Edit the new delivery order to match what is actually on the lorry.
  4. Save, then set the original sale order to Partly delivered if more is to go.

How do I track goods on the road?

  1. Click the row to open the preview and use the status dropdown.
  2. Use the Edit button beside Save PDF to correct figures without closing the preview.
  3. Set Delivered when the signed copy returns. Set Returned if the customer refused goods.
  4. Changing status posts nothing. Marking Returned does not put stock back.

How do I bill the delivery?

  1. Press To invoice on the delivery order once delivery is confirmed.
  2. The invoice takes today's date, copies lines, and stamps the delivery order Converted.
  3. Check the new invoice's posting status. With automatic posting on, the sale enters the books as the invoice is created. Otherwise add the matching debtor entry.
  4. Do not let delivery orders sit unbilled across a month end to avoid profit distortion.

How do I undo a delivery that did not happen?

  1. Open the delivery order and press Delete. If converted, delete the invoice first.
  2. Deleting puts the goods back on the shelf and reverses stock movements.
  3. If only some goods came back, do not delete. Record the return through Stock.

What this does to your books

Saving a delivery order moves stock out for each stock-tracked catalogue product, valued by weighted average or FIFO. While the Stock in P and L switch on the Stock screen is on (the default), this posts Dr Purchases (5000) / Cr Inventory / Stock (1300) at the cost of the goods shipped. Service and free-text lines move nothing. No sale or debt is recorded here: the invoice adds Dr Trade Debtors (1100) / Cr Sales / Revenue (4000) when it is created with automatic posting, or when its manual debtor entry is added. Deleting the delivery order reverses the stock movement.

Questions, answered

Does a delivery order create a debt for the customer?

No. A delivery order records the physical movement of goods but creates no debt. The customer only appears as a debtor once you raise the invoice: automatically if automatic posting is on, or when you add the matching debtor entry.

Why must I pick a catalogue product instead of typing a description?

Only a real catalogue product can move stock. If you type a free-text description, no stock moves and no cost is recorded. This means your gross profit will be overstated because the cost of sales is missing.

What happens if I mark a delivery order as Returned?

Changing the status to Returned does not put the stock back into your inventory. It is just a label. If the goods really came back, you must delete the delivery order or count them in through the Stock module.
