How to record receipts and payments in Orbit

Receipts files money that has arrived. Paid invoices move here automatically, while you write standalone receipts for counter cash. A receipt does not create income. It only swaps a debt for cash. Check the invoice detail first to avoid double counting. For a paid invoice the app writes the ledger entry for you; for counter cash you add a Cash In row.

What is the Receipts module for?

Receipts is where money that has arrived is filed. A paid invoice moves in on its own once nothing is outstanding. A standalone receipt is for cash taken across the counter where there was never an invoice. A receipt does not create income. It only turns a debt into cash.

How do I turn a paid invoice into a receipt?

  1. Go to Invoices and use Record payment on the row the customer has paid.
  2. Enter the amount received and the date it reached your account.
  3. Press Pay in full to take the whole Balance due.
  4. Choose Paid into so the receipt reaches the right bank balance.
  5. Attach the proof with Scan proof or Upload proof.
  6. Press Record payment. The invoice leaves the Invoices list and appears in Receipts.
  7. Go to Cash In & Out and check the Debtor Collection row is there. Do not add it yourself: the app has already written it, and adding a Sales row as well doubles your cash and income.

How do I collect on a foreign currency invoice?

  1. Use Record payment on that invoice as usual.
  2. Choose Paid into so both the collection and any exchange gain or loss use the bank that received the money.
  3. Enter the rate for the day the money actually arrived.
  4. Check the preview for the ringgit received and the gain or loss.
  5. Press Record payment. The whole thing is posted in one go by the app.

How do I write a receipt for counter cash?

  1. Press New receipt.
  2. Pick the customer, or type a name in Attention for a walk-in.
  3. Add a line for each thing sold, with the quantity and the price.
  4. Press Save. The document takes the next number in your receipt series.
  5. Go to Cash In & Out and record the money you actually took, dated the same day, with the Sales category. This step is not optional: until you do, the sale is not in your books.

How do I send and keep a copy?

  1. Click any row to preview the document as the customer will see it.
  2. Use the Edit button beside Save PDF to correct any wrong figures.
  3. Use Export PDF for a file you can keep or attach yourself.
  4. Use Send receipt on WhatsApp, or Send receipt by email if you have set up a mail server.

How do I find a past receipt?

  1. Type into the search box to match the number, customer, attention name, or amount.
  2. Open the row to check what was sold.
  3. Use Duplicate to start a fresh document from the same lines for a repeat customer.

How do I refund a customer?

  1. Find the row and choose Refund. It only appears where money actually came in.
  2. Choose a full refund or type the part you are giving back. You cannot refund more than was received.
  3. Save. A fully refunded invoice becomes outstanding again and returns to the Invoices list.
  4. Record the money leaving in Cash In & Out, so your bank balance follows the refund.

What this does to your books

Settling an invoice with Record payment writes a Debtor Collection row for you: Dr Cash & Bank (1000), Cr Trade Debtors (1100). On a foreign currency invoice the app also posts the rate difference: Dr Cash & Bank (1000), Cr Realised FX Gain (4910) if the rate moved in your favour, or Dr Realised FX Loss (7020), Cr Cash & Bank (1000) if it moved against you. Saving a standalone receipt posts nothing. The Cash In row you add later posts Dr Cash & Bank (1000), Cr Sales (4000). A refund posts nothing until you record the cash-out row.

Questions, answered

Does a receipt create income in my accounts?

No. A receipt does not create income. If an invoice came first, the sale was already recorded then. The money arriving only turns a debt into cash. Your Profit and Loss does not move by one sen.

Why is my invoice still showing as unpaid?

You must use Record payment on the Invoices screen to settle the document. Writing a new receipt for an invoice payment is incorrect. The invoice is already the record. Use Record payment to settle it properly.

Can I edit a receipt after payment is recorded?

No. A document with money applied to it can no longer be edited. You must void the payment first, or issue a credit note. This prevents changing the record after the money has moved.
