Cash vs accrual accounting: which should a Malaysian small business use?

The difference between cash-basis and accrual accounting in plain terms, which one Malaysian sole proprietors and companies are expected to use, and how it changes your books.

The one-sentence difference

Cash-basis accounting records money when it actually moves: you count income when the cash arrives and expenses when you pay them. Accrual accounting records income when you earn it and expenses when you incur them, regardless of when the cash changes hands.

Example: you invoice a customer RM5,000 in March and they pay in May. Cash basis records the RM5,000 in May. Accrual records it in March, when you did the work, and shows RM5,000 owed to you until it is paid.

Why accrual gives a truer picture

Accrual matches income to the period that earned it and expenses to the period that caused them, so your Profit & Loss reflects how the business actually performed. It also surfaces money owed to you (receivables) and money you owe (payables), which cash basis simply cannot show.

Cash basis is simpler and tracks the bank balance closely, which some very small businesses find easier. But it can mislead: a great month on paper might just be last month's invoices finally being paid.

Which one are you expected to use in Malaysia?

For companies (Sdn Bhd), accrual accounting is the standard. Malaysian financial reporting for private entities generally follows MPERS (the Malaysian Private Entities Reporting Standard), which is accrual-based, and accrual is expected for statutory accounts and tax.

Very small sole proprietors and partnerships may be able to keep simpler cash-book records, but as the business grows a simple cash book is usually no longer sufficient and accrual becomes the practical standard. Whichever you use, records must be kept for seven years. Confirm your own position with LHDN or a licensed tax agent.
